Terms and Conditions

Organising an event requires a considerable amount of forward planning, time, risk and expense. Approximately 9 - 12 months prior to our events taking place, work begins and costs are incurred. These include administrative, insurance, advertising, marketing, equipment, website and staff costs.  As an event draws nearer, we continue to incur costs, many in relation to the number of entrants in the event.

Whilst we are investing into the cost of staging our events, there is no guarantee of their success, making financial planning an integral part of event management and promotion.  For this reason our ‘Terms and Conditions’ are here to ensure we are able to provide athletes with continued safe and enjoyable events.

• Conditions of Entry:
  By entering a Just Racing event (either online or postal) applicants agree to abide by our terms and conditions as listed below.

   

• Confirmation of Entry:
  Cashing of cheques confirms acceptance of postal entries. An acceptance email will be sent to confirm the acceptance of online entries. A list of entries will be posted on www.justracinguk.com prior to events taking place. It is the entrant’s responsibility to inform Just Racing if any of these details are incorrect so they can be corrected prior to the event taking place.  Just Racing cannot guarantee that any changes can be implemented if they are received after the event has closed for entries.
   

• Competitor Withdrawal:
  With most events (sports, cinema, theatre, concerts, etc), if after paying for them you have to withdraw, you will not receive a refund, regardless of the reason (injury, pregnancy, holiday, business / work, etc). However, if you do need to withdraw from any Just Racing events and provided we get enough notice, we are prepared to give you an element of your entry fee back, providing you follow our withdrawals policy:

   

  • You must notify Just Racing in writing by post.
  • You must enclose a stamped addressed envelope so we can send you your refund.
  • The date of your withdrawal is as postmarked on the envelope (we will accept the date of an email or telephone message provided they are followed up by a letter with an SAE within 1 week.
  • Your withdrawal letter and SAE are sent to Just Racing (withdrawal), 56 York Road, Wollaston, Northants, NN29 7SG.

    Refunds will be issued as follows:
    Notification Postmarked:

    6 weeks or more prior to event = 80 % Refund
    4 – 6 weeks prior to event = 50 % Refund
    Less than 4 weeks prior to event = No Refund

  No registration packs will be sent to any competitors who have withdrawn from an event or who do not register during the allocated time periods for their entered event.

• If you have purchased an event through a mutliple discounted option and you need to withdraw from any of those events individually, the full amount of the discount you have received will be taken off the event you are withdrawing from after the refund calculation has been made.  
  • Eg.  If you enter the 180 series as a btf affiliated member saving £13 and need to withdraw from the Grendon Triathlon, 5 weeks prior to the event, your refund will be 50% of the full amount (£17.50) - the series discount already received (£13).  The refund in this instance would be £4.50 (£17.50 - £13).
• If you have received a free product from one of our special offers and you need to withdraw from an event that contributed to receiving the free product, the full amount of the free product will be deducted from the refunded amount. 
  • Eg.  If you entered the Beaver and the Grendon Triathlon as a btf affiliated member, you will have paid £135.  If you withdraw 5 weeks prior to the event from the Beaver, you will received a 50% refund for the Beaver (£40).  If you received a pair of 2xu socks by spending over £100, the full cost of the socks (£20) will be taken off the refund.  The refund will be £20 (£40 - £20). 
  • Please note, that this still applies if you have not received the product as Just Racing will have already procured it.  It is the responsibility of the competitor to arrange to have it collected.

• Transfer of Entry:
  Under no circumstances are applicants permitted to transfer their entry to either another event, or to another individual. Applicants wishing to transfer their entry to another race, are required to follow the guidelines as outlined in Competitor Withdrawal (see above).   

• Race Information:
  All information relating to all Just Racing events will be published on www.justracinguk.com. Any advance changes / alterations to the course or event will also be published on the website as will individual start times. Race information and individual start times will only be sent out to competitors if they have included a sae with their application. It is the responsibility of all competitors to ensure they are aware of all information relating to their event.

   

• Prizes:
  Any individual who has won a prize at a Just Racing event must either:

  Collect the prize at the presentation
  Arrange for the prize to be collected
  Make arrangements with the Race Director to receive the prize post-race day prior to the presentation.

  If the winner of a prize does not do one of the above, then that individual will forego the right to the prize and the prize will not be awarded.

   

• Completion of Entry Form / Online Entry:
  If entrants do not complete all sections of the application, Just Racing will take the following actions:
   
  • Entries missing estimated swim times for pool based triathlons will be put together at the start of the race.
  • Entries missing age / date of birth, will not be eligible for any age group prizes.
  • Once we have received an application, any subsequent change to individual affiliation status will not result in any refund of the difference between the non-affiliation and affiliation entrance fee. 

• Photography:
  The promoters maintain the right to use images and photographs taken by their contracted photographers and employees at the event without informing of or recompense to event participants. These images can be used for promotional purposes as undertaken by the promoters and their partners, which will cover a range of possible uses including advertising, press and media, printed information items, editorial coverage and any other promotion directly related to the promoters or their sponsors.
   
• Special Offers:
  Throughout the year Just Racing may at times offer discounted rates, group discounts and special promotions that may run for a period of time.  Just Racing have the right to withdraw any offer at any time for any reason.  No offers will be back dated or issued to competitors who may have already entered an event prior to a promotion.   This is also applicable to any of our associates whether the offer is combined with Just Racing, or offered solely from our event partners.
   
• Event
• Right of Refusal of entry:
  Just Racing maintain the right to refuse or revoke entry to any applicant, where they believe that accepting the entry could prejudice the event, Just Racing, Just Racing’s sponsors, associates or staff. This right of refusal extends to include applications where acceptance is considered by the promoters to be likely to infringe upon the enjoyment of any persons connected with the event, including staff, marshals, volunteers & other competitors.

   

Changes:
We endeavour to make sure we provide you with an event that you have entered.  Circumstances may be such that we are unable to deliver an event in the format that was expected / advertised.  Just Racing have the right to change any event for the reason of safety without prior notice.  In such circumstances competitors will not be eligible for any refunds, whether full or partial, or any other financial recompense.
